Executive Assistant-Discovery Biotherapeutics

We are seeking a highly motivated Executive Assistant and business partner to join our Discovery Biotherapeutics group. The position provides comprehensive and highly flexible administrative support to the Vice President and four senior leaders within the Discovery Biotherapeutics team at RWC. The successful candidate must be detail oriented, have strong organizational, planning, and communication skills. Demonstrate the ability to prioritize, work independently and collaboratively, and be able to learn new tools and systems in an ever-evolving environment.

Responsibilities (include, but are not limited to):

  • Proactive calendar management, ensuring senior leaders meeting preparedness (e.g., assemble meeting materials & pre-reads)
  • Preparing and managing expense report processes
  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Partner with site, organization, and other administrative processionals across the company
  • Support group operations with scheduling and meeting management (team, department, performance check-ins, 1:1s, etc.)
  • Coordinate travel arrangements for senior staff members.
  • Support senior staff members with inter-group communications, such as SharePoint and department calendar management.
  • Proactively coordinate and support annual strategic planning initiatives
  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Support various projects as needed for team leads & external collaborations including basic project management.
  • Department level event planning and social events

Qualifications:

  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • High School degree, some college or degree desirable.
  • Minimum of 8 years prior experience in supporting a senior executive or team
  • Experience working in scientific research environment, biotech start-ups, pharmaceutical and venture capital companies preferred.
  • Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint)
  • Any knowledge of the following applications is desirable: Ariba/SAP, SharePoint, Concur, Room Scheduler.
