Job Description
Administrative Coordinator, Project on Democracy and Capitalism

The University of Virginia’s Miller Center seeks an ADMINSTRATIVE COORDINATOR for its Project on Democracy and Capitalism to support the Project and its related programming. This position supports the Project Facilitator in managing the Project’s operational workflow, including tracking agendas and budgetary data, meeting preparation, travel organization, and management of student and project data. A considerable part of this role will be events support, including coordination of invitations, outreach, tracking event budgets, event preparation, and day-of event support. Project events include workshops, public events, webinars, student events, and conferences. Some work outside of normal business hours will occasionally be required to support events.

Responsibilities

Primary responsibilities for this position include: 

  • Coordinating event logistics, including invitations and speaker outreach, travel, budget tracking, marketing, scheduling, and venue/vendor coordination. 
  • Coordinating scheduling within the Project and with partner organizations. 
  • Preparing agendas and documents for meetings. 
  • Coordinating travel for event speakers, workshop participants, and other project guests. 
  • Managing project email list, distributions, and internal communications.
  • Working closely with staff at the Miller Center and other partner organizations within the University of Virginia.
  • Other duties, as assigned.

Required Qualifications

  • High school diploma.
  • Six years of experience. Bachelor's degree may substitute for experience. Experience may include full-time employment and/or internships, externships, shadowing, volunteering, employment as a student worker, part-time or summer jobs, and similar activities in which skills that are relevant to the work of the position are developed.
  • Outstanding attention to detail and organizational skills.
  • Discretion and good judgment.
  • Strong interpersonal, written, and verbal communication skills.
  • Proficiency with MS Office 365 suite.
  • Ability to uphold the values of the Miller Center’s faculty and staff.

Preferred Qualifications

  • Proficiency with Zoom and Zoom webinar functions.
  • Experience supporting events or large meetings.
  • Interest in democracy, capitalism, and/or related topics.
  • Experience working in a university setting.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.

Additional Position Information

Currently, the Miller Center is a hybrid working environment due to Covid-19 protocols. Upon the University’s and the Miller Center’s reevaluation of return to Grounds, the Miller Center will become primarily an in-person working environment, with occasional opportunities to work from home.

This is a restricted position which extends through June 15, 2025. Renewal is possible, subject to performance, availability of funds, and need. This position will remain open until filled.
