Job Summary

The Project Manager will support the Greenhouse E3’s Program Director in creating a professional development program for charter leaders and executives across the country. The Project Manager will coordinate, manage and execute PD logistics and lead on external communications. In addition to this, the project coordinator will be responsible for maintaining our team’s task management software and internal databases.

This position offers the right candidate a rare opportunity to help support a new, ambitious organization dedicated to improving the success and stability of CMOs across the country by supporting and preparing aspiring CEOs, new CEOs, and their boards before, during, and after executive transitions. The successful candidate will be one who enjoys collaborating with team members and thought partners, learning from program participants and working closely with partner CMOs and intermediaries. Given the current expansion and start-up of a national organization, we anticipate that the team’s working environment will be fast-paced and entrepreneurial.
Qualifications & Requirements
Roles and Responsibilities

Plan and implement logistics for professional development (includes travel accommodations, catering, material creation/production, event reservations and set-up)

Research and vet high quality third party vendors, when necessary

Communicate program logistics, fellowship information and action steps with fellows, coaches, and partners professionally and effectively

Serve as the on-site (and virtual) logistics point person for programming

Rapidly respond to fellow, coaches, partners and team needs and/or make the necessary connections for needs to be quickly solved

Build, improve and maintain our:

Databases (which contain information collected from fellows and coaches to help us improve our programs)

Internal reporting and analysis to inform data driven decisions regarding program improvement and the fellow experience (i.e. creating, analyzing and presenting session survey feedback)

Application portals

Task management software

When necessary, be responsible for researching new tools and methods for achieving our goals related to the items above and training themselves and the team on how to use them.

Minimum Required Skills & Qualifications

The ideal candidate will have project management experience and have experience coordinating and executing logistics. The candidate effectively communicates with external and internal stakeholders, is highly responsive, and task-oriented. The project coordinator has an eye for creating an elite, high-quality and warm experience for participants. In addition to this, the candidate will also possess the following:

Strong organization and project management skills

Strong written and verbal communication skills

Experience managing a large project or large sets of data

Experience using gmail, calendar, and google drive

Experience using Excel or Google Sheets (and ability to write basic formulas and use basic functions)

Proactive problem solving skills and an entrepreneurial mindset


Note on Travel: Program sessions, which are typically 2.5 days, will be several times per year in host regions around the country. The project coordinator will be expected to attend sessions in order to coordinate and execute programming logistics. The coordinator will serve as the point-of-contact for in-person and virtual events for any logistical and material concerns. The project coordinator is an instrumental member of the Greenhouse E3 team and is encouraged to observe programming when feasible.

Bonus Skills & Qualifications

Experience working in ambiguous, startup environments, working to define requirements, self-learning where needed, and managing up to identify important issues that demand solutions– and proposing solutions to address them.

Project Management

Experience using some form of Project Management Software (e.g. Jira, Asana, Monday.com) to run a team meeting, set the agenda, & center the team around the most important tasks and blockers

Being the admin/owner of the one of the project management softwares above and creating tools and workflows to improve the team’s efficiency in communications, task management, project schedules, ideally in a remote office / semi virtual office environment and geographically dispersed team.

Introducing a team with a range of technological expertise (Gen z to Gen x) to new software & training and/or creating training materials

Creating automated workflows (e.g. automated emails or task creation and assignment in a project management software)

Debugging technical issues in a project management software

IT

Managing settings for Gmail, Gdrive, and Google Calendar for a team (using Google Admin Console)
